Summary/ General Description of Job:
The Executive Administrative Assistant to the President keeps the Executive organized through prioritizing, managing, scheduling, coordinating, and communicating information. The incumbent manages and oversees the administrative functions of the Executive office by exercising good judgment, communicating openly, and striving to add value to every project, task, and situation that may arise.
Essential Duties & Job Functions:
Manages and coordinates administrative tasks.
Responds to requests for information, questions, and concerns.
Coordinates off-site functions and special events.
Interfaces with outside constituencies, public relations, etc.
Manages and maintains the President’s schedule, appointments, and travel arrangements.
Prepares and edits correspondence, communications, presentations, and other documents.
Conducts research, assembles, and analyses data to prepare reports and documents.
Prepares account reconciliations, expense reports, check requests, etc.
Answers telephone and directs calls as needed.
Receives, sorts, opens, and distributes mail.
Assists in the maintenance of the out-of-office calendar on the portal website.
Updates, files, and organizes periodical binders on a regular basis.
Updates contacts lists and organizational charts.
Coordinates with the Board of Directors regarding monthly and quarterly meetings, and any other scheduled meetings.
Prepares Board meeting packets.
Completes special projects as assigned by the President.
Serves as a liaison between internal and external clients and the President.
Serves as back-up for other administrative personnel when needed.
Maintains confidentiality at all times.
Performs related work as assigned.
Assists in coordinating the agenda of senior management team meetings and off-sites, and all- staff meetings
Facilitates cross-divisional coordination of travel and outreach plans
Edits and completes first drafts for written communications to external stake holders
Knowledge of standard office administrative practices and procedures.
Demonstrated organizational and planning skills.
Skill in the use of common office machinery including copiers, fax machines, and computers.
Demonstrated ability to solve problems.
Ability to work professionally with a variety of people and personalities.
Ability to meet deadlines and handle potentially highly-stressful situations.

High School diploma or equivalent.
Proficient in the use of Microsoft Word, Excel, PowerPoint, SKYPE and Outlook.
Valid state driver’s license with a good driving record.
5 years of experience working in a fast paced, large, and/or complex work environment
Bachelor’s degree in Business or other related field.
Five (5) years’ experience providing support at the executive level.
CAP (Certified Administrative Professional).
